Key responsibilities

**? About the Role**
CBM Global is embarking on a change process called ‘Building Together’ which seeks to:
- Accelerate the shifting of power to our partners and project participants.
- Increase the impact of our work
- Generate efficiencies in our systems and ways of working
Core to this change, the organisation is aiming to evolve the roles it plays as an international NGO to focus on those roles where we add the most value in our work alongside our partners and which enable the power shift we are seeking. Alongside this, in our country level work we are seeking to shift away from a deep seated project based approach, towards an approach that seeks to facilitate programmatic, systems level change.
We will initially pilot these new ways of working in two countries before planning a wider role out. During these pilots we will:
- Explore further the new roles we can play as an international NGO and sharpen / refine these, before a wider roll out.
- Develop our programmatic approach and develop initial systems level programmes that align with this approach.
- Develop learning products, guidance and tools for use by teams within CBM Global when we roll out our approach more widely.
- Explore and review the roles and responsibilities of different teams within CBM Global and develop efficient systems, processes and procedures related to aspects of programme oversight and management.
- Assess the capacity of teams within CBM Global to undertake the revised roles and responsibilities and determine changes required within teams to undertake these new roles in the future.
Towards the end of the pilots, we will then develop a roll out plan, which building upon the learning will map out the wider roll out across all CBM Global teams.
The proposed change process will be complex and will impact on many different teams and entities across CBM Global. The Transformation Manager will lead and coordinate this work. They will be required to gain an in-depth understanding of current ways of working; identify changes needed; design and lead a change process; and directly deliver key tasks within it, whilst also coordinating tasks undertaken by relevant teams across the Federation.
**Job overview and core purpose**
Working within the CBM Global Secretariat, the Transformation Manager will be responsible for day-to-day leadership, coordination and delivery of the Building Together change process.
A steering committee chaired by the International Director, has been established for strategic oversight. Reporting to the International Director, but accountable to the Steering committee, the Transformation Manager will be responsible for project managing the overall change process as well as for undertaking some specific tasks that are part of the project plan.
**Key Responsibilities:**
1\. Overall project management of the Building Together change process, including of the 2 pilots. This will require:
a) A detailed project plan to be maintained and updated as necessary, with timelines, responsibilities, dependabilities and deliverables clearly articulated and understood
b) Close coordination and follow up with internal stakeholders / teams responsible for different tasks, to enable progress to be tracked, the coherence of the overall plan to be maintained and plans to be revised where necessary
c) The identification of risks and mitigating actions
d) The production of periodic progress reports/updates
e) Support the governance of the Building Together change process, facilitating connections and communications between stakeholders and operating as the Secretary to the steering committee, arranging meetings, agendas and notes
2\. Leading and supporting the development of the necessary systems, procedures and processes required to operationalise the changed ways of working. This will require close collaboration with internal stakeholders and teams to gain their support for the proposed changes and to then update/amend current procedures and processes
3\. Backstopping support to internal stakeholders / teams, supporting them to undertake their tasks to a high standard
4\. Updating the Federation Operating model, incorporating changes agreed during the Building Together change process
5\. Finalising a learning framework / approach for the Building Together change process and then leading the ongoing assessment of the change programme in line with this framework in order to:
a) Support real time decision making
b) Generate evidence and learning that can strengthen, support and guide future roll out
c) Determine the extent to which the change process is achieving its objectives and enable informed revisions and improvements to be made
6\. Facilitating learning and developing learning products, guides, tools, checklists etc that will support the wider roll out and replication of the pilots. These should be based upon our own learning and experience and also draw upon evidence, insights and existing materials and resources from within the sector.
7\. Supporting internal communications about the change process for the purpose of building understanding, awareness and support across the Federation. This will involve developing a clear communication strategy / approach; writing articles / papers; preparing and delivering presentations to different groups, including senior leadership and Board; and providing guidance and support to colleagues, who will communicate to their teams.
8\. Preparing ‘decision papers’ for any proposed changes which require approval. This could include papers for the Board, senior leadership or other decision-making fora within the Federation.
9\. Developing and then project managing a roll out plan.
10.Proposing changes to wider Federation approaches, ways of working and structures etc, which would enable the Building Together change process to achieve the greatest impact.
**Key internal stakeholders**
To achieve the Building Together outcomes, the Transformation Manager will be required to interface effectively with entities and teams across the Federation, including:
- Teams within the Secretariat responsible for operational processes and procedures, in particular the Finance and Global Online teams
- The MEAL team
- The Secretariat Institutional Fundraising team
- Other entities within the CBM Global Federation, in particular Members, Technical teams and Country Teams
